TimeToHire Privacy Policy

This policy explains what personal data TimeToHire collects, why we collect it, who can see it and how long we keep it. When we say “TimeToHire”, “we” or “us”, we mean the operator of the TimeToHire platform — the mobile apps, the web portal and the services offered through them. It should be read together with our Terms of Service.

What this policy covers

TimeToHire is a video-first hiring platform. That makes the data we handle unusually personal: your face and voice on a video CV, your work history, and what you said in an interview. This policy covers everyone who uses the platform — workers, employers, agencies and individual customers — and visitors to this website. We process personal data in line with Singapore’s Personal Data Protection Act (PDPA) and, where they apply to you, the data-protection laws of the place you live.

Personal data we collect

Account and contact data. Your name, email address and phone number, both verified by one-time codes at sign-up, and your password (stored hashed, never readable by us).

Onboarding data. What you submit for verification. For workers: your profile, employment history, job sectors, skills and the answers in your onboarding questionnaire. For employers and agencies: company or agency information, supporting documents and hiring preferences. For individual customers: personal details and addresses. Onboarding submissions are reviewed by our team before an account can transact.

Video CVs. The video a worker records in one continuous take — face, voice and answers to the timed questions shown on camera. Our review team watches every submission and rates it 1 to 5 or asks for a re-record.

Interview data. Bookings, availability and appointments; and, when a hirer turns recording on, the recording of the in-app video call, its automatic transcript and a short AI-generated summary. Both sides are informed when a call is recorded.

Wallet and payment data. Token balances, top-ups, holds, charges and transfers. Card payments are processed by our payment providers under their own terms — we do not store full card numbers.

Usage and device data. App and website activity, device type and identifiers, and logs needed to keep the Service secure and working.

Why we use it

To run the platform: verifying accounts, matching workers to jobs by sector, location and language, showing your application and video CV to the hirers you apply to, scheduling and running interviews, producing transcripts and summaries of recorded calls, processing plans and token transactions, and sending the service messages the flow depends on (in-app and by email, in Singapore time). We also use data to prevent fraud and abuse, to support you when you ask for help, and to meet legal obligations. We do not use your personal data for third-party advertising.

Who can see it

The people you choose to meet. When a worker applies to a job, that hirer can see the application, profile and video CV. When an interview is recorded, the hirer keeps the recording and transcript, and the worker sees the AI summary.

Our review team. Admins review onboarding submissions and video CVs — that review is what the “verified” badge means.

Service providers. Payment processing, video calling, transcription and AI summarisation, cloud hosting and email delivery run on third-party infrastructure bound by contract to process data only for us.

Nobody else. We do not sell personal data, and we disclose it beyond the above only where the law requires it.

How long we keep it

Onboarding submissions are kept as a historical snapshot of what was verified — later profile edits update your current profile, not the record of what our team reviewed. Video CVs, recordings and transcripts are kept while they serve the hiring purpose they were made for. Account and wallet records are kept while your account exists, then deleted or anonymised except where the law requires us to keep them longer (for example, financial records).

Your rights

You may ask for access to the personal data we hold about you, ask us to correct it, or ask us to delete your account and its data. Where processing rests on consent — such as a recorded interview — you may withdraw that consent going forward. Send any of these requests through the contact page; we respond within the timelines the PDPA sets.

Security

Data moves over encrypted connections and is stored on infrastructure with access controls, and access inside TimeToHire is limited to staff whose role requires it — our internal dashboard scopes what each operator can see. No system is perfectly secure; if a breach affects your data, we will notify you and the regulator as the law requires.

Where data is processed

TimeToHire serves hiring across regions, and our service providers operate international infrastructure. Where personal data leaves the country it was collected in, we rely on providers that commit to protections comparable to those of this policy, as the PDPA requires.

Cookies

This website uses only the storage it needs to function; we do not run third-party advertising trackers on it. The apps and the portal use local storage and similar technologies for sign-in sessions and preferences — the things the product cannot work without.

Children

The Service is for people old enough to work and to hire, and is not directed at children. We do not knowingly collect data from anyone below the legal working age of their place of residence.

Changes to this policy

We may update this policy as the Service evolves. If a change is material, we will give notice in the app or by email before it takes effect. The date at the top of this page is the date of the current version.
